Make charging part of the welcome.

Updated 18 October 2026

1. Confirm which role you hold

If EVI assigned you a Building Admin, Property Manager or Charger Owner site account, use Overview → Dashboard, My Sites, Earnings, Payouts, Reports and Settings. If you have a full Operator account, use the operator guide for tariff, charger and team administration.

Admin top bar for a test Charger Owner with the Overview menu open. The menu lists Dashboard, My Sites, Earnings, Payouts, Reports and Settings, with My Sites highlighted as the current page.

An operator and a site manager are different permissions.

The business owns the decision about pricing and access. The signed-in account must also have the permission to apply it. Ask the responsible operator for controls your site account does not expose.

2. Prepare each property

Agree the setup before launch

  1. Check the site name, address, physical charger labels and contact responsible for the property.
  2. Order new hardware from evinitiative.shop. The hardware purchase guide covers lead times and arrival. Have the installer complete the commissioning guide and every physical plug test. Obtain human launch approval before advertising availability.
The Commercial AC category page of evinitiative.shop, with Commercial AC highlighted in the header menu, a Check incentives in your area button under the title, and three product cards: AC Elite Commercial (12 kW Level 2 commercial charger from Autel) at $1,066, AC Pro Commercial (19.2 kW) at $1,599, and AC Ultra (19.2 kW dual-port, one unit serves two stalls) from $3,130 with 3 options.
Commercial AC chargers for workplaces and commercial properties. DC fast chargers are on the Commercial DC page. From evinitiative.shop on 2 October 2026. Prices and lead times change; the shop shows current ones.
  3. Agree whether charging is public, guest-restricted, staff-only or mixed. Have the operator confirm the access rules and guest price.
  4. Save the location’s electricity rate in Overview → Settings, checking the unit displayed.
Overview, Settings for a test Property Manager, with the Site selector set to Sample Towers (sample data). The Electricity rate card explains that the rate should match the utility bill, including delivery and regulatory charges, and shows a saved rate of $0.21 per kWh with a dimmed Save button. The Resident charging card has the switch Allow residents to register their own chargers turned on. The Fob self-registration card has the switch Let drivers register their own fobs here turned off.
Overview → Settings with the location’s saved electricity rate. Pick the location in the Site selector first. Sample screen with test data.
  5. Confirm any idle fee and the free grace period shown to drivers. A fee can be no more than $2/minute and must have a grace period of 5 to 30 minutes; the default is 15 minutes.

3. Connect the property’s bank

Use the right receiving entity

  1. Open Overview → Settings and select the correct location.
  2. Find Location bank account. Confirm that you are authorized to manage that location’s bank account, choose its country if this is first-time setup, and review the payout terms.
Location bank account card on Overview, Settings, for a test location before bank setup. It reads No bank account connected for this location, 46 days remaining to connect your bank, and Electricity held: $76.52. Bank country is set to Choose country, with the note that the country cannot be changed after setup and that, if EV Initiative already arranged a bank account for this location, you contact support at support@evinitiative.com before creating another. The box I am authorized to manage this location’s bank account is unticked, above a dimmed Connect location bank account button and Refresh status. No bank details are shown.
The bank card before setup, with the country selector and authorization box. It belongs to the location picked in the Site selector at the top of Settings. If you have not accepted the payout terms yet, ticking the box opens them first. Sample screen with test data.
  3. Select Connect location bank account and complete the details requested by Stripe for the entity receiving that location’s electricity reimbursement.
  4. Return to Admin and select Refresh status. If verification is pending or information is due, tick the authorization box and use Review setup in Stripe to finish.

It reads Bank connected, Stripe payouts enabled, then: Payments arrive in the location Stripe balance as each session settles. Bank deposits are scheduled weekly on Monday, subject to bank readiness and fund availability. Below are the unticked box I am authorized to manage this location’s bank account, a dimmed Review setup in Stripe button, Refresh status, and a Last checked date and time. No bank details are shown.
The same card once the location’s bank is connected. Review setup in Stripe is enabled once the authorization box is ticked. The last line shows when the status was last checked. Sample screen with test data.
Session transfers and bank deposits are separate.

The location bank account receives eligible electricity reimbursement, Site Share and legacy Revenue Share. Payments arrive in the location Stripe balance as each session settles. Bank deposits are scheduled weekly on Monday, subject to bank readiness and fund availability. The Site Host statement, below the bank card in Overview → Settings and in Overview → Payouts, lists each recorded transfer under Session transfers with its sessions, ledger currency, cash sent and conversion costs. A connected bank or recorded charging sales alone are not proof of payment.

4. Walk through it as a guest

Test after launch

  1. Start from the link, QR code or public location that guests will actually use. Check the displayed property and connector.
  2. Use a guest account with the intended access and payment method. Review the charging price and idle terms before starting.

  4. Find the session in Admin Reports using the right property and date range. Ask the operator to fix a wrong label, missing price or incorrect access before handing the system to staff.

5. Compare your properties

Compare the locations you manage

  1. Open My Sites for chargers and availability, Earnings for site financial activity, or Reports for session history and energy.
  2. Use Locations to choose one location, all assigned locations, or a specific selection. My Sites and Earnings show the selection side by side in Compare locations; in Reports, open the Compare Locations tab.
Earnings page for a test Property Manager: Compare site financial activity. The Locations selector reads All locations and the period is Last 30 days, with a Download comparison CSV button. Tiles show 2 locations selected, $304.55 collected charging sales, $205.12 recorded electricity costs and 1,015.15 kWh delivered in period. A note explains that electricity costs are recorded amounts, not proof of reimbursement or an outstanding balance. The Compare locations table lists Sample Towers (sample data) and Sample Lofts (sample data) with Chargers, Online, Sessions, kWh, Charging sales, Electricity costs and Electricity held ($76.52 held for Sample Lofts), plus a Selected total row. The Payments to you card says personal payment totals are unavailable until payout records identify the recipient.
Earnings for all assigned locations, side by side. Charging sales, recorded electricity costs and held electricity are separate columns. Sample screen with test data.
  3. In Reports, choose the date range and session status. Start with All statuses. If the period is empty, try a longer range before concluding that data is missing.

The date range pills read 24h, 7d, 30d, 90d, 1 year and Custom, with 7d selected, and the Locations selector on the right is set to All locations. The Booking History tab is open, next to Compare Locations. Status filters read All, In progress, Completed, Cancelled and Failed, with All selected, 8 total and an Export CSV button. The table lists eight sample sessions on TEST-TWR and TEST-LFT chargers by test residents and a test guest, with status, date and time, amount, kWh and session time.
Reports with 7d, All locations and All statuses selected, and Export CSV on the right. Sample screen with test data.
  4. Use Export CSV when you need session records. Keep the selected dates and location scope with the exported file.

In Earnings, site charging activity and accumulated electricity costs are separate from verified personal payments. To reconcile payments, use the Session transfers list in each location’s Site Host statement, below the bank card in Overview → Settings and in Overview → Payouts. It shows each recorded transfer with its sessions, cash sent and transfer reference.

6. Give staff a one-page handover

  • The property name and physical charger/plug labels.
  • The driver app or guest QR/link and the parking instructions.
  • The current guest access policy, pricing contact and idle/grace terms.
  • Who checks Reports and who manages that location’s Stripe account.
  • The installer contact for physical faults and EVI support for account/session questions.

Use Print / save PDF to keep this guide with the property’s operating instructions. Add your site-specific details separately.

Send support@evinitiative.com the site name, charger identity, affected plug, time and time zone, and the error you see. Leave passwords, sign-in codes, card numbers and bank details out of the message. For damaged equipment or an electrical fault, stop using it and contact the responsible installer.
